Base Formula: Number of seats × Per-seat price = Monthly cost

Usage Pool

Shared Limits

Organization usage pooled across all members:

• Total = per-seat limits × number of seats
• Any member can use from pool
• Resets monthly

Example: 5-seat Pro org:

• 10M tokens (2M × 5)
• 1,000 images (200 × 5)
• 100 videos (20 × 5)
• 300 minutes audio (60 × 5)

Member Usage

• Each member can use pool
• Track usage by member
• Set soft limits if needed
• Monitor in dashboard

Managing Billing

Owner Permissions

Organization owners can:

• Update payment method
• View billing history
• Add/remove seats
• Enable/disable overage
• Download invoices
• Manage subscription

Admin Permissions

Organization admins can:

• View billing information
• See usage reports
• Download invoices
• Cannot modify payment/subscription

Accessing Billing

1. Go to Organizations → [Your Org]
2. Click Billing tab
3. View all billing information

Payment Methods

Adding/Updating Card

1. Go to Org Billing
2. Click Payment Method
3. Enter card details
4. Save

Accepted:

• Visa, Mastercard, Amex, Discover
• Processed via Stripe
• Secure and encrypted

Billing Contact

• Set billing email
• Receives invoices
• Payment notifications
• Can be different from owner email

Invoices

Monthly Invoices

Includes:

• Base subscription cost
• Seat charges
• Overage charges (if any)
• Taxes
• Total amount

Downloading Invoices

1. Go to Billing History
2. Find invoice
3. Click "Download PDF"
4. Save for records

Invoice Information

• Organization name
• Billing address
• Seat count
• Usage breakdown
• Payment details

Adding Seats

How to Add Seats

1. Go to Organization → Billing
2. Click Manage Seats
3. Enter new seat count
4. Review cost change
5. Confirm purchase

Charges:

• Immediate pro-rated charge
• New seats available immediately
• Next month charged at full new rate

When to Add Seats

• New team member joining
• Expanding team
• Increased capacity needed
• Before sending invitations

Removing Seats

How to Remove Seats

1. Remove members first (must have empty seats)
2. Go to Billing → Manage Seats
3. Request seat reduction
4. Applies at end of billing period

Important:

• Can't reduce below member count
• Takes effect at period end
• No immediate refund
• Plan ahead

Overage Billing

Organization Overage

Pro Organizations can enable overage:

• Set spending cap for organization
• Shared across all members
• Owner/Admin manages
• Tracks usage by member

Setup:

1. Go to Billing → Overage
2. Toggle overage on
3. Set spending cap
4. All members can use

• Dashboard shows overage spending
• See which members using
• Real-time tracking
• Alerts at thresholds

Billing Cycle

Monthly Billing

• Same date each month
• Charged automatically
• Email receipt sent
• Invoice generated

Pro-Rated Charges

• Adding seats: Immediate pro-rated charge
• Removing seats: No refund, applies next period
• Upgrading: Pro-rated credit

Failed Payments

If payment fails:

• Email notification sent
• 3 retry attempts
• Organization suspended if not resolved
• Update payment method to restore

Subscription Changes

Upgrading Organization

• Pro → Enterprise
• Immediate access to new features
• Pricing changes
• Contact sales

Downgrading Organization

• Enterprise → Pro
• Takes effect at period end
• May lose features
• Data preserved

Canceling Organization

Warning: Cancellation is permanent

1. Remove all members
2. Cancel subscription
3. Confirm cancellation
4. Access ends at period end
5. All data deleted after grace period
