What are Seats?

Seats are user spots in your organization. Each team member needs one seat to access organization resources.

Seat Types

Active Seats

• Filled by organization members
• User has access
• Counts toward billing

Available Seats

• Empty spots
• Ready for new members
• Pre-paid capacity

Total Seats

• Your organization's capacity
• Active + Available = Total

Viewing Seats

Seat Dashboard

Go to Organization → Members to see:

• Total seats purchased
• Active seats (filled)
• Available seats (empty)
• Seat utilization percentage

Adding Seats

When to Add Seats

Before inviting members:

• Need empty seat to send invitation
• Add seats first, then invite

Expanding team:

• Growing organization
• New hires
• Increased capacity

How to Add Seats

1. Go to Organization → Billing
2. Click Manage Seats
3. Enter new total seat count
4. Review cost change:
   • Shows current cost
   • Shows new cost
   • Shows difference
5. Click Confirm

Immediate Effects

• Pro-rated charge for remaining period
• New seats available immediately
• Can invite members right away
• Next month billed at new rate

Cost Calculation

Example:

• Current: 5 seats @ $50/seat = $250/month
• Add 2 seats → 7 total
• Mid-month addition = pro-rated charge
• Next full month: 7 × $50 = $350

Removing Seats

Requirements

• Must have empty seats (remove members first)
• Can't reduce below active member count

How to Remove Seats

1. Remove members to free up seats
2. Go to Organization → Billing
3. Click Manage Seats
4. Enter lower seat count
5. Confirm reduction
6. Takes effect at end of billing period

No Immediate Refund

• Reduction applies next period
• No pro-rated credit
• Keep access until period ends
• Plan ahead for reductions

Seat Utilization

Tracking Usage

Monitor seat efficiency:

• High utilization (80%+): Good, most seats used
• Low utilization (50%-): Consider removing seats

Optimization

• Remove inactive members
• Right-size seat count
• Don't buy excess seats
• Review quarterly

Requires available seat:

4. Seat becomes active

3. Can invite new member

Pro Organization

• Minimum: 2 seats
• Maximum: 10 seats
• Need more? Upgrade to Enterprise

Enterprise Organization

• Unlimited seats
• No maximum
• Scale as needed

Calculate Needs

Current team:

• Count active members
• Add planned hires
• Add buffer (1-2 seats)

Example:

• 4 current members
• 2 new hires planned
• 1 seat buffer
• = 7 seats needed
